The Role

The Design Operations Coordinator is responsible for general support of the creative director and other members of the team. As part of the design team, you will mostly focus on supporting general team operations, including: scheduling meetings, maintaining calendars, taking notes during team meetings and helping keep meeting agendas organized, assisting in larger creative strategy meetings by taking notes and tracking action items, assisting the creative director and/or project manager with expense tracking by logging invoices, assist the project manager with project reports and distribution to key cross-functional stakeholders, and provide logistical and fulfillment support for the brand experience partner.

To join our team, you should be excited to:

  • Support the creative director and other design team members by scheduling meeting requests as needed, coordinating with other team admins or executive assistants to schedule larger cross-functional review meetings, and owning overall calendar management and maintenance. 
  • Assist the project manager as needed by maintaining and running design project reports and helping implement new automations in our project management software. This may include helping organize and prepare project status records.
  • Assist the brand experience partner, as needed, with merchandise logistics and communications, organizing shipment fulfillment details, and helping with small sends via our offsite warehouse software.
  • Assist with paperwork, gathering signatures on contracts, and expense tracking on outsourced design projects as needed.
  • Participate in design team meetings, critiques, and larger strategy sessions, while taking notes as needed—with excellent attention to detail.
  • Assist the creative director with agency and freelancer intros by logging new information in our vendors database.
  • Assist the design team as needed with non-creative aspects of projects (e.g. occasionally proofing a designed document, apply brand guidelines, copy edits and/or new files to the asset library, etc.).
  • Assist with larger central marketing team events and initiatives as needed.

Minimum Qualifications

  • 5+ years of executive or administrative assistance experience. Prior experience or interest in design is a plus
  • Must be proficient in G Suite. Experience working in Figma, ClickUp, Airtable, Sendoso, and/or Adobe CC is a plus. 
  • Must be willing to learn new software tools (for expense tracking, project management assistance, and swag send support) as needed.
  • Must be a self-starter with the ability to work independently on projects from start to finish.
  • Must be a strong collaborator, and at times, an excellent proofreader.
  • Must be an effective communicator across all levels of the organization, with the ability to easily communicate with different personalities. 
  • Must approach all work with an organized and efficient mentality, with an eye for detail.
  • Must be interested in design and know how to work with creatives, while also intellectually curious and interested in design team operations.
  • This position is open to remote workers. However, West Coast business hours will be observed and travel will be required for occasional meetings and/or quarterly events.

The anticipated salary range for this role is between $108,000-$126,000, actual starting pay may vary based on a range of factors which can include experience, skills, and scope.

This role is eligible to participate in the a16z carry program and various discretionary bonus programs as well as benefit and perquisite plans including health, dental, vision, disability, life insurance, 401K plan, vacation, and sick leave. #LI-Remote
