Position Overview
We are looking for a talented and experienced Executive Assistant to the CEO. You will be part of the team supporting our CEO and Senior Executive team.
- Type: Temporary, parental leave coverage (1-year duration)
- Employment Type: Direct employment (no B2B or contractor engagement)
- Location: Remote (must reside and have the legal right to work in the United Kingdom, Latvia, or Spain)
What You Will Do
- Calendar Management: Own and proactively manage the CEO’s calendar, anticipating needs, resolving conflicts, and ensuring time is spent on the highest-priority topics. This includes planning the business cadence for the year and coordinating with Board members.
- Meeting Coordination: Schedule and coordinate meetings for the senior executive team, including recurring forums, ad hoc working sessions, and time-sensitive stakeholder requests.
- Travel Logistics: Take full ownership of CEO and executive travel logistics, planning ahead, managing changes in real time, and ensuring all details are handled from start to finish.
- Event Planning: Plan and execute logistics for the company as well as regular leadership / team offsites, including booking venues, coordinating vendors, finalizing agendas, and supporting onsite.
- Executive Partnership: Act as a proactive partner to the CEO by flagging gaps, anticipating bottlenecks, and stepping in to keep executive operations running smoothly.
- Internal Communications: Support some of the company’s internal communication where relevant (e.g., company townhalls).
- Reporting: Report directly to the CEO and work closely with the senior leadership team.
What You Must Have
- Experience supporting a CEO or C-level executive in a tech or high-growth company.
- Demonstrated ability to plan and manage travel, including flights, accommodation, and transport.
- Experience coordinating leadership team meetings, including owning agendas, note-taking, and action tracking.
- Strong written communication skills, with the ability to clearly document and summarize decisions and next steps.
- Ability to work independently, anticipate needs, and manage changing priorities without constant direction.
- Experience working closely with senior leaders in a fast-paced, high-responsibility environment, with evolving priorities and limited structure.
- Sound judgment when handling confidential information and navigating sensitive topics.

- Experience improving or building administrative processes that increased efficiency or reduced friction.
