About The Role
We're looking for a Virtual Assistant to join our Admin Services team, known to many clinics as Ginger Desk. Ginger Desk was founded by a Naturopathic Doctor and officially joined Jane earlier this year. Together, we're growing Services to help practitioners get their time back.
Most of our customers are practitioners who care for patients all day and then run a small business around their clinical hours. As a Virtual Assistant, you'll serve as the virtual front desk for several of these clinics, working within Jane to manage their inboxes, calendars, bookings, billing, and charting. You'll learn each clinic's preferences, care for their patients with warmth and professionalism, and handle administrative details so practitioners can focus on patient care. You'll begin with approximately one month of hands-on training (Ginger University), take on your first clinic towards the end of it, and gradually build your portfolio.
If you have years of clinic front desk experience, are proficient with Jane, and enjoy keeping everything organized, this could be a meaningful next step. Services is a key initiative for Jane, and you'd be joining early to help shape its future.
The Impact You Could Have
- Give practitioners their time back by managing day-to-day front desk work for a portfolio of clinics, including inboxes, calendars, bookings, billing, and charting in Jane.
- Help patients feel cared for through clear, warm, and professional communication via phone, email, and secure messaging.
- Manage details across multiple clinics simultaneously, meticulously tracking tasks and follow-ups.
- Maintain accurate and secure clinic records, handling patient information in compliance with PIPEDA and HIPAA standards.
- Contribute your clinic experience to the team, sharing insights on practice operations and helping to shape the growth of our Services offering.
- Help define how AI supports our Services work by exploring new tools with curiosity and care, and identifying solutions that genuinely save clinics time without compromising quality or privacy.
The Experience We Feel We Need
- 3+ years of administrative experience in a healthcare or wellness clinic, ideally at the front desk, observing practitioner and patient workflows.
- Approximately 2 years or more of daily experience using Jane in a clinic, with confidence in scheduling, invoicing, charting, and settings.
- Experience working across several clinics or disciplines, or deep expertise in one area like mental health, naturopathic medicine, or medical aesthetics, with comfort in related terminology (e.g., labs, treatment plans).
- Understanding of extended health billing; experience with WorkSafeBC or ICBC claims is a bonus.
- Highly organized and detail-oriented, capable of managing multiple clinics and tasks simultaneously while remaining calm and accurate under pressure.
- Polished, professional written and verbal communication skills, with the ability to adapt to each clinic's style while maintaining patient trust.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and a quick learner of new systems and workflows.
- Curiosity about how AI tools can automate repetitive tasks and willingness to test them out.
- Based in Canada and available to work Monday to Friday. Shifts are 8 hours between 7am - 7pm in your time zone. Your hired time zone will remain consistent, as your clinics rely on your availability during their hours.
- Familiarity with virtual phone systems or other clinic software is a nice-to-have.
If you don't meet every single qualification but are excited about this role, we'd still love to hear from you.
