
About the Role
Own how our Foundations business teams design, automate, and operate their most important workflows. Notion is growing quickly, and the processes that run our business—intake, triage, execution, approvals, escalations, reporting—need to scale without adding headcount or losing auditability. This role exists to redesign those processes end-to-end and embed AI directly into them.
What You'll Achieve
- Redesign cross-functional processes: Map and optimize core flows for Foundations business teams to make them simpler, faster, and more consistent.
- Architect multi-system workflows: Design workflows spanning Notion, Slack, email, support tooling, and internal data with clear states, routing, and auditability.
- Design for resilience: Identify edge cases and controls so workflows are reviewable and easy for business teams to operate.
- Embed AI: Define where AI assists, automates, approves, and audits, ensuring clear human-in-the-loop patterns.
- Build custom agents: Ship agents, structured skills, and runbooks that power intake, triage, and reporting.
- Instrument success: Define and track metrics like cycle time, deflection, and quality to iterate based on data.
- Set standards: Establish best practices for AI safety, permissions, and transparency.
- Drive adoption: Partner with stakeholders to ensure tooling is intuitive and reliable.
Skills You'll Need
- Process design depth: 2–6 years in operations design, service design, product operations, or internal tools.
- Complex workflow experience: Ability to design for intake, triage, routing, and approvals across multiple systems.
- Process mapping rigor: Hands-on experience with journey maps, service blueprints, and SOPs.
- AI-native mindset: Experience building with AI assistants, agents, and workflow automation (prompt design, tool selection).
- Lightweight automation: Comfort building with Notion custom agents, integrations, APIs, and webhooks.
- Communication: Ability to defend design tradeoffs and collaborate with cross-functional partners.
- Ambiguity management: Experience operating in fast-moving environments alongside engineers and PMs.
Logistics
This role is based in San Francisco or New York City. We work from our offices on Mondays, Tuesdays, and Thursdays (Anchor Days) to facilitate in-person collaboration.
