Seeq is looking for an experienced Recruiting Coordinator to make every step of the interview process feel organized, welcoming, and clear. You will partner closely with recruiters, candidates, interviewers, and hiring managers to coordinate interview logistics and keep the hiring process moving smoothly.

This role is a great fit for someone who enjoys solving scheduling challenges, communicating with care, and bringing calm structure to a busy, changing calendar. You will be a key point of contact for candidates and help ensure they know what to expect before, during, and after each interview.

Key Duties & Responsibilities

  • Coordinate virtual and in-person interviews, including complex multi-interviewer schedules across time zones.
  • Communicate promptly and thoughtfully with candidates about interview details, timing, changes, and next steps.
  • Partner with recruiters and hiring managers to understand interview plans, align interviewer availability, and resolve scheduling conflicts.
  • Prepare interviewers with schedules, candidate materials, meeting details, and other relevant logistics.
  • Support a smooth interview-day experience by monitoring calendars and meeting logistics and addressing issues as they arise.
  • Arrange candidate travel or other interview accommodations when needed.
  • Keep candidate records, interview plans, and process notes accurate in the applicant tracking system.
  • Follow up with interviewers on feedback and next steps so candidates receive timely updates.
  • Identify recurring coordination challenges and suggest practical ways to improve the candidate and interviewer experience.
  • Handle candidate and company information with discretion and care.

Requirements

  • Minimum 3 years of experience in recruiting coordination, talent operations, executive assistance, or another role involving complex scheduling and candidate- or customer-facing communication or equivalent experience.
  • Demonstrated ability to coordinate multiple interviews and shifting schedules accurately, including across time zones.
  • Clear, warm, and professional written and verbal communication.
  • Strong organization and attention to detail, with the ability to prioritize competing requests and meet time-sensitive deadlines.
  • Sound judgment and a calm, service-oriented approach when plans change.
  • Comfort using an applicant tracking system, calendar tools, video conferencing platforms, and common workplace software.
  • Ability to work independently while collaborating closely with a distributed team.
  • Commitment to providing a respectful, accessible, and consistent experience for candidates from a range of backgrounds.

Preferred Qualifications

  • Experience supporting technical, business, or other specialized recruiting.
  • Experience coordinating interviews for a remote or geographically distributed workforce.
  • Familiarity with improving recruiting workflows or documenting repeatable processes.
