The Role
TJM Labs participates in approximately 40 conferences, trade shows, and events annually. You will be responsible for managing all aspects of these events end-to-end, transforming them into valuable meetings and pipeline opportunities. This includes running associated programs like webinars, email campaigns, gifting, and customer initiatives.
This role is based at our office in Newark, Delaware, where event materials are stored. Regular in-office presence is required for inventory management and shipping. You will also travel to events across the U.S. (up to 25%).
What You'll Own
Events and Conferences (~40 a year)
- Build and manage the annual events calendar and budget, recommending show participation based on results.
- Manage all logistics: registration, booth and sponsorship packages, shipping, swag, travel, hotel, lead capture, and staffing schedules.
- Plan pre-event outreach with sales and SDRs to book meetings and coordinate post-event follow-up within 48 hours.
- Coordinate speaking slots and CE sessions with executives, managing deadlines, templates, and materials.
- Report on event performance: meetings booked, pipeline created, cost per meeting, and ROI.
TJM Labs-Hosted Events
- Customer Conference: Coordinate the annual conference end-to-end, including venue, budget, registration, attendee experience, and post-event follow-up, collaborating with the Marketing Lead on agenda and speakers.
- Lunch & Learns: Run an ongoing series for pharmacies and partners, managing scheduling, catering, content, invitations, and follow-up.
- Executive Dinners: Plan intimate dinners for pharmacy owners and executives around conferences and in key markets, managing guest lists, invitations, venues, and hosting logistics with sales.
- Support advisory board and customer council meetings.
Programs
- Gifting and Direct Mail: Manage gifting and direct mail campaigns to target accounts, event invitees, and customers, coordinating with sales on recipient lists.
- Webinars: Own the monthly webinar series, from topic and speakers to promotion, run-of-show, recording, and follow-up.
- Email Marketing: Manage event and webinar promotion emails, and support the customer newsletter, nurture sequences, and product announcements. Maintain the email platform, CRM sync, list hygiene, deliverability, and report on key metrics.
- Campaign Tracking (CRM): Ensure event, webinar, and campaign records in the CRM are accurate, including invite lists, attendees, and follow-up, with clear attribution to meetings and pipeline.
- Customer Programs: Support the customer reference program and advisory council.
What Success Looks Like
- First 30 Days: Master the event calendar, budget, and deadlines. Ensure upcoming shows have timelines, checklists, and staffing plans. Organize booth and swag inventory with a shipping process. Define clear success metrics for each event and set up CRM tracking.
- First 90 Days: Track and report cost per meeting and pipeline per event. Implement a standard event playbook (pre, during, post). Run the webinar series and email calendar on schedule with reported results.
- First 12 Months: Deliver the annual customer conference on budget. Reallocate event spend towards shows that generate pipeline. Improve cost per meeting quarter over quarter.
Requirements
What You Bring
- AI-Native: You use AI daily for drafting communications, building target lists, planning logistics, analyzing campaign results, and automating follow-up.
- 2+ years in B2B event and field marketing, ideally in healthcare, pharmacy, or SaaS.
- Hands-on experience running trade show booths and hosted events, preferably for a company with a busy event calendar.
- Hands-on experience with webinar tools (e.g., Zoom, ON24).
- Experience with email marketing platforms and CRM data management (e.g., HubSpot, Salesforce).
- Experience managing vendors and event budgets.
- Extremely Proactive: You anticipate needs, identify problems early, and solve them without waiting for direction.
- Very Organized: You manage multiple deadlines simultaneously without anything falling through the cracks.
- Comfortable working with sales and executives, and holding them accountable for event commitments.
- Willing and able to travel up to 25% to events across the U.S.
- Based in or able to commute to Newark, Delaware, with regular in-office time for managing, packing, and shipping event materials (able to lift up to 40 lbs).
Nice to Have
- Experience marketing to pharmacies or at healthcare industry trade shows.
- Experience with gifting platforms (e.g., Sendoso).
