About the Role

This is a true right-hand Executive Assistant role—not pure scheduling support or pure project management. We are hiring a force multiplier who can take ownership of how a senior executive's time, communications, and operating cadence run day-to-day. You will act as a gatekeeper, an editor, and a quiet operator behind one of the busiest desks at Crux.

The role is dedicated to 2–3 senior executives, with light support to their broader team regarding offsites, internal events, and select client-facing events nationally.

Key Responsibilities

  • Calendar Management & Gatekeeping: Prioritize aggressively against business objectives. Title meetings clearly, build attendee lists, ensure prep context lands in advance, and defend focus time.
  • Inbox Triage & Response Management: Filter and prioritize non-securities email. Draft replies on the executive's behalf and build toward trusted delegation over time. Correctly route regulatory compliance items.
  • Executive Operations: Assemble meeting materials and agendas with context. Capture follow-ups, track action items to completion, coordinate interview loops, and maintain candidate feedback.
  • Workflow Systems: Maintain operational hygiene across HubSpot, Rippling, and Ramp (expense approvals). Keep CRM data clean and current.
  • Travel & Personal Logistics: Maintain an integrated view across business and personal travel and appointments, coordinating alignment with the business calendar.
  • Events & Offsites: Coordinate closing dinners, team offsites, conferences, and client/investor events. (Approx. 20% travel required, primarily for offsites and events).
  • Formatting & Deck Support: Perform deck edits and formatting polish.

What You Bring

Must-Haves

  • Prior experience supporting senior executives in finance, banking, or another regulated environment.
  • Strong judgment, prioritization, high discretion, and confidentiality.
  • Proven ability to manage up and collaborate cross-functionally.
  • Systems-oriented mindset with high detail orientation and follow-through.
  • AI fluency or a strong appetite to adopt AI tools.

Nice-to-Haves

  • Familiarity with HubSpot, Slack, and G-Suite.
  • Note: No prior fluency in financial concepts or investor workflows is required; these can be learned on the job.

Logistics

  • Location: Remote (US or Canada), with optional offices in NYC, DC, or SF.
  • Travel Expectations: ~20% travel for team offsites, board/client meetings, and events.
  • Target Start: October or sooner.
